Q: I need to make notes to a contact/file in Gomax, where do I do this?

A: Gomax Solutions provides you with contact and mortgage file “Tagging”. This is an ideal way to type notes and keep emails that are important to the contact and/or their mortgage file. 

To make a tag to the contact do the following:

1. Locate your contacts name in your dashboard to the left.
2. Click on their name once so you are redirected away from the dashboard and onto a screen that displays their mortgage file(s), tags and documents.
3. In the tag box (bottom left corner, as seen above) select from the 2 icons (The G for General tags or the Telephone which refers to phone call tags). This will open a popup where you can start recording your notes.
4. If you want to upload an attachment to accompany your note, you can do so by selecting the browse button and search your computer and select “open”.
5. When your note is complete make sure to “Save & Close”. If you do not do this, you will end up with an empty note.

To make a tag to the contact’s mortgage file do the following:

1. Locate your contacts name in your dashboard to the left.
2. Click on their name once so you are redirected away from the dashboard and onto a screen that displays their mortgage file(s), tags and documents.
3. Click on the appropriate mortgage file so it loads the mortgages summary tab, file tags, and file documents.
4. In the tag box (bottom left corner) select from the 2 icons (The G for a General tag or the Telephone which refers to a phone call tag). This will open a popup where you can start recording your notes. If you want to store an email, you can simply copy and paste it into the tag popup window.
5. If you want to upload an attachment to accompany your note, you can do so by selecting the browse button and search your computer.
6. When your note is complete make sure to “Save & Close”. If you do not do this, you will end up with an empty note.

Q: What’s the difference between adding a tag to my contact vs. adding a tag to my contact’s mortgage file?

A: It is always good practice to keep notes. Sometimes your contacts may have multiple mortgages and you will want to keep these notes organized. If you made notes under the contact’s name for 6 different mortgages, it is going to be very difficult to read through them later. If you make your notes in the appropriate mortgage file(s), reading these notes later will be much easier! Keep file specific notes in the correct mortgage file, and keep more common notes under the contacts name; like what sort of people they are, if they have (grand) children and/or pets. (So you can impress them later with your superb memory)

Q: Can I edit/access my tags anytime?

A: Yes you can, click anywhere on the tag that you had previously made and you will be able to access the tag for editing or to download any attachment(s). You cannot edit tagged emails.

Q: Can I attach my tag to other contact/file(s) in my database all at once so I do not have to redo this step for each contact?

A: Yes you can! In the very top of a new tag is a place for you to locate additional contacts and/or their mortgage files for multiple tags. Simply start typing the contacts name and GoMax will attempt to auto populate this for you by providing matches. Once you make your selection, make sure the check off the boxes where you wish your tag to be saved. You will have a choice between the contacts name and or any of their files.
